The first way
would be to encourage your clients to book their own
vehicles online through their own control panel or
by sending a simple text message, alternatively through
the IVR (interactive voice response system). It’s
a very simple solution to a long established problem
only really now available with the advancement in technology
(take a look at the client interface for more information).
Secondly as
the driver updates the system at each stage of the
journey a timestamp is placed at each point. once the
journey has been completed the driver enters the relevant
information, waiting time and car park details etc,
this journey is now ready for invoicing, one of your
administration team can then briefly check the details
are correct. Invoicing is as simple as allocating its
just the click of a button and can be delivered in
various ways, either by email in Word, PDF or Excel
format or simply printed and posted.

We have utilised
a GPRS enabled pocket PC unit as an interface between
the control room and the driver and visa versa in 'real-time'
and because we transfer data over secure public networks
it now means that wherever your drivers are they are
always within range, even outside the UK, in a recent
test we tracked a driver for 1606 miles across europe.
You can communicate with all drivers
across the fleet at the touch of a button and visa versa
the drivers can communicate with you.
These units are pre-loaded with TomTom
Satellite Navigation software to ensure your drivers
find their way every time. The phones are on contract
allowing you to call your drivers should they not already
have one, visa versa the drivers can call you from the
units at a reasonable rate.
'Netserv' system
allows you to allocate journey’s that you cannot
cover and rely on the fact that another, suitable,
company using the Tobias system will pick up the journey
and cover it for you. . This is ideal for anyone that
doesn't want to say no to a client, especially an account
client, and force them to make another call, likewise
the clients really only want to make one call in the
first place
NetServ is installed
into all companies using the Tobias system. This facility
allows you to run a more efficient shift, reducing
dead mileage for your drivers and covering more journeys,
and of course enable you to take on more work during
your “quiet spells” keeping your drivers
busy. Any NetServ bookings you “subcontract” allow
you to place restrictions you require, for instance,
you need an executive driver with an E Class Mercedes
under 4 years old at Heathrow for a certain client.
You place the price of the job on the booking and a
second company using Tobias has this standard of driver
and vehicle available, they would cover the booking.
